I’m sure I’m not the only one—AI calls still handle personal data: names, phone numbers, emails, even calendar info.</p>
<p data-start="2264" data-end="2312">Here’s what I learned about staying compliant:</p>
<p data-start="2314" data-end="2527"><strong data-start="2314" data-end="2343">1. Call recording notice.</strong><br data-start="2343" data-end="2346" />If you have “Record calls = ON” (which I recommend for transcripts and data), <strong data-start="2424" data-end="2456">you must notify at the start</strong>. Something like: <em data-start="2474" data-end="2525">“This call may be recorded for quality purposes.”</em></p>
<p data-start="2529" data-end="2716"><strong data-start="2529" data-end="2554">2. Data minimization.</strong><br data-start="2554" data-end="2557" />Prompts should only ask for what’s necessary. Don’t request addresses or payment info unless strictly needed. That’s GDPR’s principle of “data minimization.”</p>
<p data-start="2718" data-end="2944"><strong data-start="2718" data-end="2750">3. Appointments &amp; calendars.</strong><br data-start="2750" data-end="2753" />When connecting Google Calendar, names, emails, and times are stored. I solved this by adding in the prompt: <em data-start="2862" data-end="2922">“Your data will only be used to schedule the appointment.”</em> Clear transparency.</p>
<p data-start="2946" data-end="3108"><strong data-start="2946" data-end="2975">4. Right to be forgotten.</strong><br data-start="2975" data-end="2978" />In Callin you can delete recordings and transcripts from history. That covers you if a customer asks to have their data removed.</p>

<p>Both workflows are shared between the users.</p>

<p>However, the tool fails to execute when initiated by the AI Agent (created by User A) if the tool was originally created by the other user (User B).
If the same tool is triggered directly by its creator (User B), it functions as anticipated.</p>

<p>Notably, if we duplicate the tool into the AI Agent's creator's workspace, it operates correctly when triggered by the AI Agent.</p>
