How to map the Category field when generating Quickbooks Invoices from Airtable?

Hello callin.io community,

I’m attempting to generate an invoice in QuickBooks Online using data retrieved from Airtable. Each invoice will only have a single line item. Most of the process is working as expected: client details from Airtable are being pulled in correctly, along with the item name, pricing, item description, payment terms, and type.

The only aspect I'm struggling with is the service category. In Airtable, I have a field named “Service Category” (which is a text string). I'm unsure how to map this to the appropriate QuickBooks Online field within callin.io.

I would appreciate any guidance on how to configure this!

If you manually generated an invoice in QBO, which field would you utilize for the Airtable Service Category?

Hi Tom,

Thanks for your question. When I create the invoice manually in QBO, it appears in the Product/Service field as follows:

In the above example, the service (Gears of Teamwork Bike Building) is in the category “Charitable”.

And here’s how I want the invoice to appear to clients:

Note that our invoices always consist of only a single line item.

Assuming your product is already configured in QBO, you can utilize the QBO Search module to find items.

Next, use the item ID obtained from the previous step within the Array aggregator.
