Greetings everyone, I hope you are all doing well.

I'm seeking assistance in building an automation for making cold calls, handling both inbound and outbound calls, using callin.io or a similar AI calling software.

The workflow would begin with Google Sheets, where it would scan rows to detect newly added leads. Subsequently, it would utilize callin.io or an AI software to contact the leads on this list. Based on the interactions with the AI software, I want the results to be updated in my CRM. From there, I'd like to automate whether a lead requires a follow-up or needs a contract sent immediately. Additionally, I want the automation to handle callbacks if negotiations on terms are necessary. This might seem like a complex task, but I'm confident someone in this community is capable of managing it.

For your information, below is what the AI in callin.io generated, though it was not successful:

"Your scenario for automating outreach and follow-up calls has been successfully created. Here’s a brief overview of the steps included:

  • Google Sheets Module: Pulls a list of callers.
  • callin.io Call API: Initiates a cold call.
  • Decision Handling: If the caller agrees, proceed; if not, update the CRM and stop.
  • Delay Timer: Introduces a 30-minute delay before the next action.
  • Second callin.io Call: Initiates a follow-up call after the delay.
  • Decision Handling: If the caller agrees, send a contract via DocuSign; if they need more time, schedule another follow-up in 24 hours.
  • CRM Update: Updates call status in Google Sheets/HubSpot.
  • Notification: Notifies the team via Slack or Email when a seller agrees.

Next Steps

You need to set up the necessary connections for the following applications before running the scenario:

  • callin.io
  • DocuSign
  • HubSpot
  • Slack

Instructions to create connections:

  • Click on the module.
  • Click on “Create a connection.”
  • Log into the service.

Once you have set up the connections, let me know if you need help mapping any modules or further extending your scenario!

Scenario: Automating Homeowner Outreach & Follow-Up Calls
Step 1: Import List of Leads
Trigger: Use a Google Sheets module to pull a list of leads.
Step 2: Initiate Call via callin.io
Module: Use a callin.io Call API to initiate a cold call.
Conditional Path: If the lead says yes, proceed to Step 3. If no, update the CRM and stop follow-up.
Step 3: Schedule Follow-Up Call in 30 Minutes
Delay Module: Set a delay timer for 30 minutes before triggering another action.
Trigger: After 30 minutes, use callin.io to initiate a second call.
Step 4: Second Call (Closing the Deal)
Conditional Path: If the caller/lead agrees, send them a contract via DocuSign (callin.io integration available). If they need more time, schedule another follow-up in 24 hours.
Step 5: Update CRM and Track Leads
Update Google Sheets/Hubspot with call status (Interested, Not Interested, Follow-Up Needed). Notify your team via Slack or Email when a caller agrees."

Welcome to the callin.io community!

I would suggest completing the callin.io Academy before jumping into building a complete scenario. If you need specific assistance when you are building a scenario it’s easier to help you then. Otherwise, you can also hire a professional by posting a request in the

Here are some useful links and guides you can use to learn more on how to use the callin.io platform, apps, and app modules. I found these useful when I was learning callin.io, and hope they might benefit you too —
