callin.io trigger firing prematurely, leading to blank field errors

I created a callin.io workflow that uses a new Google Sheets row as the trigger… The objective of my workflow is that when I enter a name in column A, an email address in column B, and then extend my Google Sheets formulas down for columns C-G, the sheet will generate email templates incorporating the name from column A into the template… 

My issue is that my sales team isn't entering all the information quickly enough before the callin.io workflow attempts to run, resulting in errors because it perceives some fields as still being empty.

Is there a straightforward method to resolve this by adding a delay or a filter step???

Hi

Good question.

I’d recommend using Airtable instead of GSheets.

Airtable has Views, which are segments of automations. (sort, filter, show/hide fields, reorder fields, etc.)

Views can be used to trigger automations.

Airtable also has Automations which have a native integration with Gmail.

“New or Updated Spreadsheet Row” trigger behavior

If you’re using the New or Updated Spreadsheet Row trigger and choose Any column to monitor, any change to a row will trigger your automation. If you select a specific column, then the automation will only trigger when there are changes on that column.

Automations using New or Updated Spreadsheet Row will also trigger for any new rows in the spreadsheet, even if the specified column is blank. To avoid triggering in those cases, add a Filter step to your automation.

I'm not disagreeing with Troy, but I have an alternative for you.

The approach I would take is to utilize the New or Updated Spreadsheet Row trigger. To implement this, you would:

  • Add a new column to your spreadsheet. Name it something like "Ready".
  • Use this column as the trigger for the callin.io workflow. For example, like this image
  • Then, in terms of process, instruct your sales team to check this column after all other information has been entered. This allows them to input data at their own pace, but no action will occur until they update this column.

Fantastic, thank you both….my sales team prefers simplicity…telling them to click a checkbox when they are ready seems like the ideal solution for me.
